Looking for a driven, organised and efficient Operations Coordinator in Oxford

If so, we’d love to hear from you.   This is a busy and varied role within a small boutique management consultancy where you will be providing effective and efficient administrative support to achieve agreed client objectives and the smooth day-to-day running of the business.  The role requires energy, initiative, and the ability to work on multiple projects at once. We would like to recruit someone enthusiastic, keen to learn, and able to plan, prioritise and deliver to tight timescales. 

30 - 35 hours per week
£20,000 Per Year

What are you going to do:

The role:

Coordinating the preparation of events and communicating well to ensure that facilitators are "in the right place at the right time with the right information and materials". This may involve:

  • Managing client projects and deadlines for client team away days/off site leadership events
  • Liaising with MD, facilitators and/or clients to identify and define requirements.
  • Preparing documents and materials (e.g. proposals, contracts, collating feedback sheets for client, spreadsheets, power point slides to be used in the workshops etc.)
  • Breaking projects into doable actions and set timeframes.
  • Ensuring all logistics are taken care of to the highest standard and communicated effectively with the team.

Support the growth of the business, this may involve:

  • Regular social media campaigns before and after events have taken place.
  • Keeping track of new leads through the Pipedrive platform
  • Keeping the business' website up to date and relevant.

Ensuring the business runs smoothly by providing day-to-day support to the Managing Director, this may involve:

  • Setting up conference calls and preparing information for meeting/calls.
  • Printing, scanning, filing and archiving.
  • Keeping accounts admin up to date.
  • Keeping the office tidy, materials tidied away and easy to find next time.

What we ask:

  • At least finished university degree
  • Someone who completes and finishes tasks.
  • Highly organised and able to plan, prioritise and deliver to tight timescales/deadlines.
  • Ability to work on multiple projects at once and get things done.
  • Superb written and verbal communication skills through a range of relevant media (e.g. face to face, email, telephone).
  • Excellent IT skills including word processing, excel spreadsheets and presentation software.
  • Easily know their way around the main social media platforms (i.e. LinkedIn, Facebook, Twitter, Instagram).
  • Ability to work with a high degree of accuracy and attention to detail.
  • Be able to use own initiative and think ahead of what may be helpful for other members of the team.
  • Ability to work independently with little supervision at times.
  • Work well in a small team.
  • Be honest, trustworthy and flexible.
  • Essential to have a car and driving license.
  • Like animals as Rex the Westie and Mittens the cat are in the office daily!

We are a small growing management consultancy called "Connecting to Excellence", based in Oxford. We conduct team and leadership events for clients internationally, nationally and locally, for example in Washington, Cape Town, London and locally in Oxford. The office is in the home of Diane Wilkinson the founder and MD of the business.

What's important to us is enabling our clients to take the next steps to become high performing teams and inspirational leaders, we do this through a range of offerings, which include, team away days, team coaching, 1-2-1 executive coaching, leadership masterclasses and keynote speaking. This could be with anything from 1 to 1500 people so precision and excellence is vital in all that we do.

What are the working hours? Full time (30-35 hours)

What contract are we offering? Permanent (with a 3 month probation period)

What is the salary? £20K starting salary
