About The Role

Our Facilities Assistants are a multi-talented and work in a busy environment. Customer service is at the forefront of all they do and it's up to them to use their initiative to support the facilities team on all things people related, from payroll, HR advice and administration.

Reporting to the Facilities Manager, you will: 

  • Be the first point of contact for Facilities Team queries from 2000 colleagues in the building
  • Offer HR expertise and advice to Facilities Colleagues and managers as necessary
  • Provide administrative support to the Facilities and Catering management team
  • Ensure payroll administration is accurate and all colleagues get paid correctly and on time
  • Controlling and allocating return to work forms and referrals as required
  • Maintain records, files and spreadsheets in line with data protection legislation
  • Support the recruitment process for the facilities Team Managers as required
  • Support, coach and advise line management with absence, disciplinary and grievance issues
  • Investigating and completing accident and insurance forms
  • Coordinating and supporting with events within Hilmore
  • Diary control log of equipment e.g. projectors to ensure they are returned
  • Using various business systems to order uniform, equipment and consumables 
  • Administration duties as and when requested
  • Putting cost control at the forefront of what you do

Supporting the catering management with:-

  • Producing department signage (Daily menu's, allergen control sheet, department POS)
  • Placing product orders for fresh, ambient and frozen products, equipment and consumables and any necessary escalations to ensure timely deliveries 
  • Proactively supporting department processes with efficient communications 
  • Department Administration including maintenance of waste records, department sales records, product costs and compliance records.

  • The ability to work in a fast paced People environment
  • A proactive, positive approach to work with a true customer focus
  • The ability to work under pressure to tight deadlines
  • Exposure to HR Systems
  • Excellent all-round IT skills (especially Microsoft Excel)
  • Experience of advising and supporting colleagues and managers with foundation level people queries 
  • Proactive approach to own continuous development
  • Experience of implementing processes
  • The ability to act on own initiative
