** 18 month Fixed Term Contract - Apprenticeship **

We welcome applications from individuals wishing to become an Apprentice and gain experience in the NHS. You will develop new skills and knowledge whilst working with an established team gaining valuable work experience and a recognised apprenticeship qualification.

You will be enrolled with a local education provider and will be required to complete your Level 3 Business Administration Apprenticeship Programme within the duration of the placement.

As post holder you will be working within the Directorate of Theatres and Anaesthesia. The Main Theatre department consists of 19 Theatres which include Emergency Theatres, Obstetric Theatres, Vascular Theatres and Paediatric Theatres. DPU comprises of 6 theatres and is one of the major day surgery units in East Anglia treating approximately 14,000 patients a year. The Directorate also covers the Critical Care Complex and High Dependency Units.

We have two positions available. One position will be supporting the Main Theatre Unit PA in providing an effective administration and secretarial service to the department. The second position will be providing administrative support to the Anaesthetic Secretaries.

As post holder you will

  • Provision of a routine level of HR support to the department and compile reports as directed
  • Contribute to distribution and monitoring of incident reports
  • Undertake other routine administrative tasks, filing, printing, laminating, and filing as and when requested by the Unit PA / Secretary.
  • Provide a dedicated, comprehensive personal assistant service to the Matron and other relevant senior staff as necessary.
  • Prepare documents by copy or audio typing using Microsoft Office software (letters, memos, reports etc.) for approval as directed, ensuring that all policies and procedures are adhered to.
  • Ensure that telephone calls, correspondence and direct contact with visitors are dealt with in an appropriate and professional manner, using judgement, tact and discretion where necessary.
  • Effectively prioritise own workload according to the changing needs of the service.
  • To have an operating knowledge of PAS / eRoster / Trac / Powergate and ORSOS.
  • Prepare, collate and administer statistical information using spreadsheets, or the ESR, ensuring that all information is readily available for presentation as requested.
  • Collate, organise and expedite reports on HR issues i.e. annual leave, sickness, study leave and any other authorised or unauthorised absence from within the department.

Eligibility Criteria:

All applicants must be:

  • Aged 16+
  • Resident in the UK/EEA for the last three years
  • Must not have a Degree, Level 4 qualification or above
  • Must NOT be in any form of formal government-funded education

Qualifications and Skills Required:

  • Good general standard of education
  • 4 GCSE’s at Grade C or above (or equivalent)
  • Good standard of literacy and numeracy
  • Good communication and interpersonal skills
  • Good IT skills
