The Role

ROLE: Senior Sales Coordinator – major international event
TERM: Fixed Term, immediate start to January 2020
EMPLOYER: SEC Food, part of Levy (Compass Group UK & Ireland)
REPORTING TO: Sales Manger

Reporting to the Sales Manager and working as part of the SEC Food Commercial Sales Team, and alongside venue colleagues and partners, to maximise the promotion and sale of all food, beverage and associated services, at the Scottish Event Campus (SEC), with a particular focus on a major International Conference being hosted at the SEC in 2020.
The successful candidate will work closely with clients and event organisers to maximise all hospitality food & drink opportunities, as well as providing general sales coordination support to other events. You will build positive relationships with existing and potential clients,
identifying key requirements, budgets and expectations, proposing the most appropriate solution, finalising these requirements, and ensuring a full and timely handover of information to the appropriate stakeholders.

Key Duties & Responsibilities

• Coordinate all sales activity in relation to the event
• Work closely with SEC Food Operations and Culinary Team at all stages during the sales,
planning and delivery stages of the event to ensure client expectations are delivered
• Attend/Host client meetings as well as internal event specific sales and planning meetings
• Liaise with the organisers and other key stakeholders to identify, propose and confirm all
event food and drink requirements for both delegates and visitors
• Complete food and drink BEO on Delphi and ensure all invoices are raised and settled in full
as per our terms and conditions, liaising with central finance team on a regular basis
• Promote Health and sustainability at all appropriate events
• Attend regular meetings with the organisers both on Campus and and off-site, managing this
relationship to continually enhance client experience
• Take part in venue/event visits and familiarisation trips when required
• Photograph and log key events, identifying potential PR/Marketing/testimonial opportunities
• Carry out regular market/competitor research and price bench marking exercises

Nature and Scope

•Maximise all sales & marketing opportunities for the event through communication with client
• Co ordinate all food planners and best packages for the event by working with the Culinary
and Sales teams ensuring costings are agreed
• Maintain accurate sales forecast on the event with control of costs for an ETA on the event to ensure profit margin targets are met
• Build relationships with the key customers
• Co-ordinate all sales requests and enquiries for the catering and ensure all requirements are processed into the FDC Delphi system with details and pricing
• Ensure the Delphi system is programmed with all packages, prices agreed for the event
• Respond to the pace of the business in terms of speed of work and productivity and ensuring response times to the client are within agreed SLA
• Initial contact with client with the venue to understand the floorplan and logistics of the event
• Ensuring clear communications of each party’s needs and expectations, whilst ensuring an achievable plan of delivery
• Any outside or out of scope areas are planned with realistic catering expectations and all equipment and facilities are discussed and agreed at planning stage
• To be involved at all planning stages with the client
• To ensure the full and clear communication of all client requirements and expectations to operation and culinary team through regular meetings
• To monitor and coordinate the operation against agreed service levels in partnership with the operations team
• Arrange Internal tasting from the planner for training on the menu and to agree key standards
• Ensure the Sustainability objectives for the event are met and maintained throughout the
planning stage and actual event for both food, disposables, equipment and people
• Be an ambassador of SEC food, ensuring that strong relationships are built with the SEC food team, SEC client, and key stakeholders
• Identify key areas that will require varying levels of service for the event and work with the Venue Director / Head of Campus Operations / Head of Commercial and HR Manager to develop a staffing plan to ensure deliverables and expectations will be met

Requirements Key Skills and Experience

• Knowledge and passion of/for hospitality, food & drink, events and meetings industry
• Ability to work with internal and external clients/stakeholders
• Sound understanding of sales, negotiation and marketing process
• Strong presentation and networking skills
• Working knowledge of Delphi and creating BEOs would be preferred
• Working knowledge of Microsoft Office
• Some experience of Adobe InDesign preferred
• Able to identify commercial opportunities which are favourable to the business whilst
delivering on our clients needs and expectations
• Ability to communicate with client both electronically, over telephone and in person,
responding to requests and feeding back comments and reactions to management
• Ensure that every customer is given a polite, friendly and personal service, and be able to turn
any negative customer experiences into positive ones
• Ensure all processes are correctly recorded in line with Company and Campus procedures
• Innovative, forward thinking approach able to understand and promote the key benefits of
SEC Food and associated services
• Ensuring customer satisfaction - involve the key stakeholders in the project as much as
possible. Maintain effective communication and keep SEC Food, SEC and clients up to date.
