Working for this local employer of choice, the Personal Assistant will be based within an exceptional working environment on an 8-month maternity contract. The Personal Assistant will provide full PA support, working within a small, close-knit team. This is a genuine opportunity to join one of the area's most prestigious employers. To apply for the Personal Assistant role, you should have previous experience in a similar PA support or secretarial role. You will be proactive, positive and flexible in your approach, as the role will involve prioritising and adapting your daily tasks. The Personal Assistant will need to pass a credit check and DBS check. Due to the rural location, you will need your own transport and a full driving licence.

Hours of work: 9am - 5pm

Key Responsibilities:

· To ensure all secretarial and administration requirements are completed on a day to day basis

· To undertake the researching, booking and logistics of travel requirements, creating suitable itineraries and documents to assist all travel plans

· To deal with incoming and outgoing mail (both paper and electronic) promptly; opening, prioritising, distributing and actioning accordingly

· To prepare letters, papers and general documentation including typing and responding to standard correspondence

· To arrange the renewals of a variety of licences, memberships and any necessary visas

· To manage and maintain meeting room spaces, including the setting up of rooms for, conference calls, refreshments and any meeting specific requirements, including the clearing and setting up of the room

· To complete expense claim forms, credit card statements and receipts for the team, liaising with the Finance Department for onward reconciliation

· To raise quotes and invoices for purchases

· To file and complete general records and database management tasks

· To prepare for, attend meetings and take minutes as requested

· To support visits to the site and coordinate any travel or accommodation plans as appropriate

· To continually develop and maintain an accurate and efficient filing system

· To continually review stocks and supplies of all office products and order replacements as required

Essential Skills:

· Accurate typing skills and a confident telephone manner

· Highly proficient with Microsoft applications including Outlook, Powerpoint and Excel

· A full driving licence

· Reliable with strong work ethics

· Attention to detail and dedication to providing quality, error free work

· Professionalism, discretion and confidential at all times

* Leads themselves by taking responsibility, being positive and tackling challenges with enthusiasm

* To provide assistance during or outside working hours if required

· Access to extremely sensitive information therefore absolute client confidentiality required and analysing information

* Applies their expertise and skills by keeping up to date with their specialist knowledge

and demonstrating business and financial awareness

* Adapts to change by being able to deal with uncertainty, accepting new ideas and driving & communicating change
