PA/Office Manager - Property/Legal (Part-Time)

About:

We are recruiting for an experienced Personal Assistant (PA) at an exciting point for our clients business. Ideally, we are looking for the PA to have a background in the property or the legal sector - although, the PA must have had demonstrable experience of working within a similar role, and worked within a busy office environment.

Our client is a privately owned property company with two main areas of responsibility:

(i) Oversight of its wholly owned portfolio of commercial investments.

(ii) Management of an affiliated company’s roadside and convenience store portfolio.

The company manages and lets 35 tenancies in properties across 16 different locations: Abergavenny, Bodelwyddan, Bromsgrove, Corby, Edwalton, Ludlow, Malvern, Monmouth, Oswestry, Pencoed, Peterborough, Rhyl, Southampton, Talke, Thornbury and Worcester.

The office has previously been situated in the Managing Director’s home but the company is now moving into a separate building on the same property in, Herefordshire. The potential candidate should therefore be happy to work in a rural location, albeit only 20 minutes from Hereford and Ledbury.

The role:

The PA will be required to work 15-20 hours per week, with a maximum of two fixed days in the office and some flexibility is offered around home working, and other commitments.

Main duties:

  • Administrative support for a family business.
  • Keeping office and IT systems well organised, clean and tidy.
  • Diary management.
  • Arranging & attending meetings, both in person and via Zoom or Microsoft Teams.
  • Taking minutes and notes of meetings.
  • Liaising with external property managers, solicitors, accountants and other supporting professionals.
  • Processing, printing and execution of legal contracts.
  • Researching localities and property data.
  • Website content management (with assistance from external provider so no need to be able to create the website itself).
  • Occasional site visits within 2.5 hours drive from Hereford.

Essentials:

  • Excellent IT proficiency with proven competence in Microsoft suite.
  • Highly organised.
  • Good writing skills for the production of brief reports and notes.
  • Driving license and owns a car so as to be able to occasionally travel to sites unaccompanied for general errands.

Experience

  • Several years of experience working in an office environment.
  • Property or legal sector experience is an advantage.

Hours

  • 15 - 20 hours per week.
  • Flexible hours around other commitments.
  • Maximum of 2 fixed days in the office and some flexibility for home working and being on-call.
