What are you going to do:
ADMIN ASSISTANT:
The role is full-time, 40 hours per week. The post-holder will need to be available to work longer hours during the running of the programmes; time off in lieu is given for the extra hours worked.
Duties include the following:
- assist with the day-to-day planning and administration for programmes, e.g. booking accommodation, teaching venues, lecturers, catering, travel and tours
- assist with carrying out research to identify potential venues, tours, catering suppliers, etc., clarify availability, travel, entrance fees, etc., and negotiate with suppliers
- assist with contacting teachers and speakers to confirm availability and lesson materials
- assist with managing programmes while they are taking place, e.g. helping with check-in, looking after delegates, making sure venues are correctly set up, etc.
- prepare programme materials i.e. students' packs
- organise meetings and interviewers as required including room bookings and the provision of refreshments
- provide administrative support to the team e.g. administrative duties, filing, photocopying, maintaining electronic diaries
- maintain filling systems and and keep records as required, both paper and electronic
- participate in team meetings
- ensure stocks of stationery are maintained
ACTIVITY LEADER
- Activity leaders will be responsible for the following duties including:
- the week leading up to the course: attend briefing meetings and help with course preparation, e.g. packing and distributing welcome packs
- meet groups at airports and helping with college/hotel check-ins and check outs
- walk with students between venues in Oxford
- socialise with students and getting to know them, e.g. having meals with them, joining social events
- lead and participate in discussion groups
- lead trips outside Oxford, e.g. London, Stratford-upon-Avon, Windsor and other destinations
- be a point of contact for students, dealing with queries and referring any concerns to the appropriate member of staff
- other similar duties as required, commensurate with the level of responsibility for the role
