Guest Management Assistant in Fairford

What are you going to do:

We are looking for a talented and professionally minded Guest Management Assistant to join our friendly and highly-regarded team as we prepare for The 2018 Royal Air Tattoo; celebrating the centenary of the Royal Air Force. The RAF Charitable Trust Enterprises organise a host of aviation related events including the Royal International Air Tattoo that attracts 160,000 visitors for a weekend of spectacular aviation action every year. Our commercial activities enable us to gift our profits to The RAF Charitable Trust in order to foster and encourage an interest in aviation amongst young people and to inspire the next generation of aerospace professionals - whether engineers, pilots or ground crew. Main Responsibilities include:

  • Managing event RSVPs communications (spoken and written) and logging information efficiently and accurately
  • Maintaining and updating the RAFCTE Guest CRM System
  • Passing on critical information to the Guest Management Executive
  • Providing general office administration support for the Guest Management team
  • Organising VIP visits (managing coach/ taxi transfer, external catering, meeting room management, passes, tickets etc. as required)
  • Liaising with other departments across the company (as needed) to support the Guest Management Team
  • Assisting with day to day requests
  • Managing issues diplomatically as they arise; escalating concerns to ensure speedy resolution
  • Communicating with volunteers; ensuring information is kept up to date and queries are addressed
  • Managing the diary for the Guest Management Team, addressing conflicts as they arise
  • Ensuring the database/ CMS is up to date and accurate at all times
  • Helping to prepare content for communications and materials ( team briefs, reports, announcements etc)

What we ask:

  • At least finished high school
  • Event management experience
  • Personal initiative to manage complex requests/ diary conflicts etc.
  • Diplomacy skills, with an ability to ensure confidentiality at all times
  • Strong communications skills, preferably having worked in a VIP/ formal / protocol environment
  • Excellent administrative and IT skills – with advanced Microsoft Office and database management skills
  • Excellent organisational and problem solving skills
  • An ability to prioritise tasks and deliver to agreed timescales and deadlines
  • Excellent oral and written communication skills
  • Strong numeracy skills
  • An ability to remain calm and focussed under pressure
  • Strong presentation skills (written and verbal)
  • The ability to work on your own initiative
  • A trustworthy, reliable and honest approach
  • A flexible approach and a desire to go above and beyond
