Under the general guidance and supervision of the outlet manager and/or supervisors, to be responsible for the administration and support of the Groups Conference and Events Sales Department.
• Reports to G,C & E Sales Manager.
• Works with a team of colleagues and supervisors as directed by management.
• Interaction with colleagues from all other departments within the hotel, and within the Hilton Group, as directed by management in the course of carrying out duties contained within this description.
• Client interaction and customer service including but not limited to customers and members of the local community.
• Responsible for posting daily charges relating to Groups Conferences and Events and the processing of all customer bills.
• General Conference & Events typing, filing, answering the telephone, maintaining stationery levels.
KEY DUTIES AND ACCOUNTABILITIES:
• Preparation of Conference & Events function items and issue to C & B Operations, e.g. menu cards, table plans, place cards.
• To keep all other related departments up to date with appointments and site visits each day.
• To post all daily revenue charges relating to Groups Conferences and Events.
• To collate and check all customer bills are correct before sending to the customer.
• Liaising with colleagues in the Finance Department with regard deposits, payments and credit.
• Monthly filing of all company/private files.
• Daily preparation of signage for all Conference & Events.
• Assisting the Groups Conference and Events Department with client events, research and creating collateral.
• Collating Conference & Events Information Packs and ensuring adequate levels at all times.
• To show a willingness to be flexible at all times in assisting other departments within the Hotel, as the needs of the business dictate - with the ultimate aim in mind of providing the best possible service to our guests.
• There are a number of promotional possibilities within the Hilton Group plc structure. These can be at departmental or other levels.
