Interim Administrative Assistant Role
You will be friendly, approachable, and collaborative with a positive flexible ‘can do’ attitude. We are a small, dynamic and busy therapy organisation and as you’ll be part of the Gestalt Centre family, you’ll need to be able to work well with the rest of the team and independently, on your own initiative as and when needed. You’ll extend your friendly manner to our students and clients as excellent customer service would be important to you. You’d also have a good eye for detail and be good with numbers as you’d also be working with databases and finance. The role is diverse and flexible with opportunities to learn and acquire new skills in a supportive environment.

Purpose
- Provide interim administrative operational support to the Events and Venue
- Coordinator and Executive Centre Manager, with administration tasks to support
centre-based therapy and training. - An important member of the office team, working in a welcoming and supportive
- environment with opportunities to gain experience and grow on the job.
Areas of work and responsibility
- Welcoming and supporting therapists and students that come to the centre.
- Support managing practitioners’ and organisational bookings: liaising with
colleagues regarding updates, liaising with venues regarding bookings and
keeping the booking system up to date. - Support with keeping track booking arrangements and invoicing: including
updating the arrangements spreadsheet and liaising with finance colleagues
who manage financial processes and records. - Support with desk research and benchmarking.
- Update documents with relevant updates.
- Data inputting and keeping the database up to date.
- Support administration for the Large Group Event: registrations, catering
arrangements, event management, preparing materials and set up of rooms. - Support the administration of Gestalt Centre membership renewals: inputting
updates, liaising with members and coordinating with membership lead. - Support the recruitment of staff.
- Provide administration staff cover as/when required.
- Support regular website updating with information about training and courses.
- Set up rooms and tidy up as/when required.
- Help with the move of activity from HQ back to the centre, once building work
is completed. - Support to CEO and Executive Centre Manager with administrative
operational tasks and projects as required.
Interim part-time contract October/ November until March 2025. 2 or 3 days per week

What we ask
- At least finished college A levels
- A levels English and Maths or equivalent (essential)
- College/ higher education student or graduate (desirable)
- 'Can- do' attitude and able to work independently
- Good organisation skills
- Well working with computers (MS Office, email, social media)
- A good eye for detail and be good with numbers
- Commitment to excellent customer service

- Be able to maintain confidentiality and manage confidential information.
- Able to plan and organise own work effectively, managing interruptions and achieving good work performance in a busy setting.

- Able to work effectively with others and on own initiative.
- Preferred experience of a service delivery, customer and working with practitioners, previous events and booking administrations
- Must be legally able to work in the UK
