Overview

We an exciting new opportunity available for an Events Coordinator within our Sports Partnership and Event team. You will support the team in delivering the fulfilment of tickets and events across all of the Gallagher divisions within the Sports Partnerships Team.

 

For the last decade, Gallagher has been a steadfast supporter of club rugby at both community and professional levels. Our commitment deepened in 2018 when we became the Proud Title Partner of Premiership Rugby. Since then, we have focused on celebrating and supporting individuals in rugby who embody the sport’s principles and ethos, while actively engaging with business and rugby communities to provide opportunities and unite people through rugby.

 

Gallagher is an Official Partner of World Rugby WXV – the new, three-tier annual global women's competition featuring 18 teams. WXV is revolutionising the women's international rugby landscape, providing a meaningful pathway for all unions and a competitive springboard toward an expanded Rugby World Cup in 2025. Additionally, Gallagher will be the founding partner of the High Performance Academy, a fully immersive development and leadership program established by World Rugby and Gallagher. This initiative aims to increase the prominence of female coaches and other high-performance roles at elite levels of the sport, leaving a lasting impact on the women's game.

 

We are seeking a self-starter, with strong organisational skills,  who can work across the fulfilment of 17,000 tickets per season as part of Gallagher’s partnership with Premiership Rugby, as well as supporting the delivery of Gallagher’s ticket allocations for the Women’s Rugby World Cup 2025.  Being able to multi-task and strong interpersonal skills are essential when responding to all queries from key stakeholders on behalf of the Sports Partnerships Team.

How you'll make an impact

  • Main point of contact / action for Rugby enquiries inbox
  • Be able to manage multiple requests from multiple stakeholders in a timely manner
  • Assist and manage dispatch of the weekly distribution of all rugby e-tickets across all Partnerships
  • Update the allocation spreadsheets with host and guest emails
  • Run weekly reports to feed into business development reporting
  • Assist the Club Lead network by:
    • Working through system requests on a weekly basis and ensuring that all approvals / declines are made
    • Pro-actively flag where large numbers of tickets or hospitality assets are not being used
    • Communicating with hosts to ensure the smooth running of all tickets & hospitality
    • Ensuring guest names are entered into the ticketing system
    • Pulling together accurate guest lists (from 10 week in week out to 500+ for big gamesAttending club meetings where necessary
  • Fulfil all requests for using the Gallagher Premiership Rugby trophy
  • Manage the approvals and despatch of all signed merchandise
  • Keep a track of all rugby related invoices and upload these to invoice system and tracker
  • Event support such producing name badges, place cards, packing and sending event collateral
  • Book couriers on behalf of the partnership team
  • Attend rugby matches or events if required
  • Prepare and send event / match day documentation such as photo consent forms for mascots
  • Assist in the admin of Gallagher Game Days and Project rugby festivals

About You

  • Strong admin or co-ordinator experience, gained within marketing or events 
  • A self starter who can manage their own workload
  • Excellent communication skills
  • Highly organised
  • Attention to detail
  • IT literate
  • Eligibility to work in the UK
