The opportunity
To provide and maintain a great service to the Visitors, Partners and staff of our busy City Legal Firm, whilst maintaining a friendly professional approach. Making sure the firm’s high standards are met each day and that every team member is valued.
Responsibilities
- Making sure the daily rota for Client Services is current and up to date.
- Leads and motivates the team, evaluating and discussing training with the Office Manager should any be required.
- Responsible for making sure the Client Services team are punctual and reporting any lateness to the Facilities / Office Manager
- Responsible for the presentation and appearance of the Client Services team and that the current uniform is always worn
- Taking responsibility of any spending on the company’s credit card and processing the receipts ready for accounts.
- Opening up and preparing the Reception and Meeting rooms for the day ahead.
- Greeting clients and visitors on arrival.
- Answering all calls internal and external in a friendly manner.
- Managing the switchboard efficiently
- Proactive in working with the Marketing team to plan, set up and host events.
- Liaising with colleagues to book and set up internal and client meetings.
- Ordering and preparing the catering for in house lunches and meetings.
- Maintaining stock levels and supplies within meeting rooms and T Points.
- Keeping Meeting rooms and T Points clean at all times.
- Preparing new starter passes and forms.
- Responsible for keeping an accurate record of Temporary Passes and keys.
- Building strong friendly relationships with other departments to create a great team ethic.
- Ad hoc copying and scanning for visitors.
- Administrative duties.
- Setting up of IT equipment in meeting rooms.

- Excellent communication skills, with the ability to adapt and communicate with colleagues and clients in a highly pressurised environment.
- A professional telephone manner.
- Fosters strong team ethic.
- A flexible, pro-active and co-operative approach to work, particularly in relation to availability and cover.
- Experience of working in a busy professional services firm, ideally a law firm.
- Excellent prioritisation skills.
- High attention to detail.
- Confident IT skills and willing to learn new systems.
