Collaboration For Kids - CFK is looking for an Administrator / Personal Assistant - Volunteer in Oxford

Job description

You’ll provide full admin support, assist Team Leads, and collaborate with the Admin Team for consistency. PA duties may be required. If you thrive in a dynamic environment, we’d love to hear from you!

What are we looking for?

  • Prior proven experience in a similar role, providing administrative and PA duties (paid or voluntary). 
  • Articulate written, visual and verbal communicator, excellent copy accuracy and proofreading skills; fluency in English is essential.
  • Proficient in Microsoft Office packages including Word, Excel, PowerPoint, MS Teams, OneDrive and SharePoint. Experience of MS Forms would be desirable.
  • Proficient in creating and branding template documents.
  • Strong organisational and time management skills
  • Strong interpersonal skills with a can-do attitude 
  • Ability to work independently and with discretion
  • Previous experience of working for Charities and/or volunteer organisations is advantageous but not required.

What will you be doing?

General Administrative Support – supporting your team(s), and the wider organisation wherever required, with admin related activities, projects and questions.

Organising Meetings and Collaborations – working closely with team leads to organise, coordinate and schedule internal CFK meetings (including team meetings and collaborations with other teams) as well as meetings with external partners (I.e. Strategic Partners and Intervention Sites). Taking minutes, keeping and sharing records, registers and minutes from meetings and supporting the follow up on agreed actions.

Organising Team Folders - supporting your team(s) to ensure their team folders are organised and updated with relevant files and documents, and that team members are aware of where to locate information they require. Supporting the IT Team in making sure Microsoft SharePoint and Teams are utilised effectively both in document storage and for communication purposes.

Managing Team Calendar & Events – creating and regularly updating a team calendar, ensuring the team(s) are aware of upcoming events and sending out invites, reminders and documentation as required. Tracking eg holidays, courses.

Administrative Processes – providing support and advice on CFK administrative procedures, reviewing and advising on improved efficiency with all admin related activities.

Collaboration

  • Working collaboratively with other key teams and people across the project, including
  • People Team – working in collaboration on People/volunteer related matters
  • Administrators / coordinators and representatives from other Delivery and Support teams - to ensure good communication and effective sharing of structures and formats related to admin matters
  • Working collaboratively with external partners as required, building strong working relationships
  • Attending and making positive contributions in internal CFK Meetings, including the monthly CFK Club Meeting, Delivery Team Meetings and Admin Team Meetings

Personal Assistant Duties As Required

  • Diary and calendar management
  • Email management
  • Handle confidential and time-sensitive information
  • Coordinate appointments or tasks (if required)
  • Provide event planning and support for charity events
