Job Title: Quality Assurance Associate

Department: Quality Assurance

Reporting to: Senior Quality Assurance Associate / QA Manager

Working Hours: 37.5 hours/week (flexible + remote by agreement)

Holiday Entitlement: 25 days + bank holidays

Hilltop Leaf Limited is a UK-licensed importer, storage provider, and distributor of Cannabis-Based Products for Medicinal use (CBPMs), operating in full compliance with the MHRA and Home Office regulatory frameworks. Hilltop Leaf maintains a robust Pharmaceutical Quality System, covering procurement, release, storage, distribution, transportation, documentation, vendor assurance, complaints handling, deviations, CAPA, recalls, and change management.

You will manage and support the Quality Management System (QMS), ensuring continuous inspection readiness. You will support the Head of Quality Control and the Responsible Person for MHRA‑licensed activities.

• Manage quality systems and support inspections by auditors, MHRA, and the Home Office.
• Support preparation for regulatory licence approvals.
• Manage and execute Change Controls, Incidents, Deviations, Complaints, CAPAs, and Risk Assessments (Owner/Approver).
• Support Vendor & Customer Qualification programmes.
• Support Qualification & Validation activities.
• Support generation of Quality Metrics and performance against KPIs.
  

• Maintain QA databases, including:
• Database upkeep
• Record filing & archiving
• Document Master List updates
• Product Specification maintenance
• Certificate & Batch Record generation
• Write documentation: protocols, reports, presentations.
• Author procedures, forms, and policies.
  

• Promote a culture of quality and compliance.
• Deliver training on Quality Management Systems.
  

• Update QMS activities associated with product release.
• Drive continuous improvement across the business.
