The Position


AKT II are looking for a proactive and highly organised Bid Coordinator to support the delivery of high-quality, commercially compelling bids and proposals that help us secure new business. In this role, you will work closely with the Bid Manager and wider business and play a key role in coordinating the bid process from opportunity identification through to submission. You will support the planning, organisation and production of bid documentation, ensuring submissions are compliant, accurate, well-presented and delivered on time.


As a central point of coordination, you’ll liaise with internal cross-functional teams across the practice, helping to gather information, manage deadlines, maintain bid content, and ensure a smooth and efficient tender process.


The Role and Responsibilities


As a Bid Coordinator, your responsibilities will include (but are not limited to):

  • Supporting the Bid Manager in coordinating bid activity across multiple live opportunities
  • Monitoring tender portals and relevant industry sources to identify potential opportunities
  • Assisting with bid planning, including setting up schedules, tracking deadlines, and managing key actions
  • Coordinating inputs from technical leads, project teams, marketing, finance and senior leadership
  • Formatting, compiling and proofreading proposal documents to ensure they are accurate, compliant and professionally presented
  • Supporting the preparation of bid responses, including CVs, project sheets, case studies and standard company information
  • Working with the Graphic Design team to maintain and improve bid templates and document presentation
  • Managing document control and version management to ensure the correct information is used throughout the submission process
  • Supporting quality assurance checks to ensure all client requirements and submission instructions are met
  • Assisting with bid submission, including uploading documents to tender portals and ensuring all supporting information is included
  • Maintaining bid records and knowledge libraries using our digital asset management system
  • Supporting post-bid reviews, feedback collection and capturing lessons learned to improve future submissions
  • Assisting with basic reporting on bid activity such as submission volumes, pipeline tracking and outcomes


Required Skills


  • Strong organisational skills with the ability to manage multiple tasks and priorities
  • Excellent written communication and attention to detail
  • Confidence working with multiple stakeholders and chasing information to deadlines
  • A structured and methodical approach with a strong focus on quality and compliance
  • Ability to work under pressure and meet tight deadlines
  • Strong IT skills, particularly Microsoft Office and InDesign


Qualifications and Experience


  • Previous experience supporting bids, proposals, tenders or business development activity (ideally within the built environment sector)
  • An interest in design-led engineering, architecture or construction
  • Experience working in a fast-paced, deadline-driven environment
  • Knowledge of InDesign (or similar formatting tools) would be an advantage
  • Interest in (or experience using) generative AI tools to support bid writing and research would be beneficial
