This is a great opportunity for an Executive Assistant with Banking exposure and who is available at short notice to join a leading Financial Services organisations based in the City on a temporary contract.
Key Responsibilities:
Provide high-quality administrative support to designated Senior Managers and their teams in the London Branch. As a key member of the Executive Assistant team, deliver proactive, reliable support to assigned individuals and groups, ensuring cost efficiencies and adherence to budgets and policies.
Main Areas:
- Manage comprehensive diaries for designated Senior Managers, coordinating calendars and resolving conflicts.
- Oversee diary management, meeting logistics, travel arrangements, and related expense processes for stakeholders as needed.
- Organise travel, arrange visas, monitor timekeeping, and provide general ad hoc administrative support to the Senior Managers and their teams.
- Act as delegated expense and travel approver for assigned Senior Managers; complete and verify expense reports promptly.
- Track attendance at internal committees and meetings; arrange meetings and introductions internally and externally.
- Support filing and maintenance of client information in the Client Relationship Management system (Nat1), including meeting uploads, contact updates, feedback, and supporting documents.
- Create and maintain KPI reports for senior management (e.g., P&L, client contributions, team activity, key project progress, expenses).
- Coordinate with London Communications to organise client entertainment and internal/external colleague events.
- Screen, direct, and respond to phone calls and inquiries; manage requests as appropriate.
- Complete the Odeon Ethics process to register client meetings in the Compliance tool.
- Assist senior management with cross‑department coordination and liaison with international offices.

- Proven executive assistant experience, preferably in Financial Services.
- Proactive, collaborative mindset; contributes to a high-performing team culture.
- Strong time management and organizational skills with excellent interpersonal abilities.
- Excellent written and verbal communication; high attention to detail.
- Able to manage multiple, shifting deadlines in a demanding environment; prioritises effectively.
- Advanced user of Microsoft Word, Excel, and PowerPoint; able to learn new tools quickly.
- Self-motivated, reliable, discreet, and able to act decisively when needed.
- Curious, entrepreneurial attitude with initiative.
- Diplomatic and approachable, maintaining professionalism in all interactions.
- Comfortable handling confidential information with sound judgement.
