Scope

Reporting into the Commercial Manager, this position is a hands-on day to day cross functional support role.

Main Accountabilities

Wholesale Management

Wholesale Order coordination

  • Collect, enter and validate customer POs on the system
  • Check pricing accuracy, quantities, and stock availability
  • Coordinate order preparation with the warehouse and confirmations with customers
  • Monitor wholesale order shipments from preparation to delivery
  • Handle disputes and service issues (delays, discrepancies, non conformity)
  • Review invoices vs. Orders prior to finance validation


Wholesale chargeback coordination

  • Review and validate internally all wholesale chargebacks
  • Investigate all chargebacks with finance and 3PL partner, ensuring dispute submission and resolution tracking
  • Track chargebacks and support corrective actions to improve processes moving forward
  • Coordinate and receipt merchandising team to ensure orders are placed within timings and reflective of launch plans and stock cover KPIs


New launch and Discontinuation management

  • Responsible for the creation and submission of new line forms for all new launches
  • Manage any SKU switches with the retailer merchandising team
  • Be responsible for the end-to-end process of any retailer stock returns (for damaged items, customer returns, aged stock…) ensuring all communication between retailer, Maison Crivelli retail teams, 3PL and finance teams is completed
  • Coordinate with the retail and marketing team all new launch and promotional activity NSV orders
  • Organize all training gifts and incentive sourcing in line with the agreed plans


Commercial operations coordination

  • Monthly stock replenishment
  • Reviews & Submit monthly purchase orders to HQ based on demand/sales forecast
  • Track order confirmations and lead times-
  • Maintain accurate order logs and documentation
  • Creates inbound PO on WMS
  • Liaise with freight forwarders to arrange international and domestic shipments
  • Monitor shipping timelines and ensure customs clearance
  • Communicate shipment status to internal stakeholders
  • Operational system maintenance
  • Maintains master data on WMS and Financial platforms
  • Creates all new SKU on WMS and Financial platform
  • Warehouse Ad-hoc requests
  • Coordinate with warehouse on stock transfers, special packing, or urgent dispatches- Resolve inventory discrepancies
  • Support cycle counts or stocktakes with admin documentation


Reporting

  • Weekly sell out reporting coordination, ensuring all information received by the retailer and inputted to main internal database.
  • Weekly sell in reporting
  • Support with stock cover in trade analysis
  • Maintain UK master data with all retailer SKU codes and corresponding internal codes


Skills & Experiences

  • 1 to 2 years experience in a wholesale business
  • Experience in a commercial / sales function with multiple B2B clients and with handling end to end wholesale orders cycles
  • Understanding of UK beauty retailers and department stores
  • Computer literate and proficiency with MC applications PPT, Excel, Word and Outlook
  • Intermittent excel skills (formulas, VLOOKUPs, pivot tables, basic data analysis)
  • Excellent time management skills with ability to prioritise workload
  • Excellent planning and organisational skills
  • A proactive approach and the ability to build strong internal and external relationships
  • Commercially aware with the ability to analyse information and offer recommendations
  • Self-motivate, passionate individual with can do attitude and entrepreneurial growth mindset
  • Excellent written and verbal communication skills
  • Curious and team player attitude
