Role Overview

We are seeking a highly organised, motivated and proactive Executive Support professional to provide comprehensive operational, administrative and, and strategic support to the Executive Leadership Team. This individual will be a trusted partner and will sit at the heart of a scaling fintech, work directly with a driven CEO, help onboard exciting fintech clients, get involved in compliance and people operations, and genuinely help build a business. 

We need someone who is hungry, commercially aware, excited by growth and progression, and will be brave enough to take ownership. 


Key Responsibilities

  • Own and protect the CEO’s time, manage complex executive calendars, scheduling internal and external meetings across multiple time zones
  • Coordinate travel arrangements, itineraries, and logistics for the Executive Leadership Team
  • Prepare meeting agendas, board packs, investor materials and regulatory documentation


Operational Coordination

  • Support the execution of strategic initiatives across departments including Compliance, Risk, Finance, Operations and Marketing. 
  • Act as a central coordination point for internal projects involving senior leadership
  • Sit close to strategic conversations and help turn ideas into action


Regulatory and Governance

  • Maintain accurate records and documentation related to governance and executive decision making. 
  • Support coordination of communications related to FCA regulatory matters where appropriate. 


Stakeholder Management 

  • Act as a professional point of contact between Executives and internal stakeholders including partners, providers, regulators and investors.
  • Build strong working relationships across teams to ensure smooth coordination of Executive priorities.


Process and Efficiency

  • Identify opportunities to improve internal processes, workflows, and operations
  • Assist with organising internal events, leadership offsites and company wide meetings
  • Maintain confidentiality when handling sensitive financial, strategic or regulatory information
  • Spot inefficiencies and take ownership of projects outside of your formal remit


Client & Payments Support

  • Help onboard fintech clients (KYC/KYB coordination alongside Compliance)
  • Support safeguarding documentation and banking partner communications
  • Assist with proposals, fee schedules and client communications
  • Be part of delivering infrastructure that actually moves money


HR & People

  • Support sourcing and hiring new talent, ensuring that the company's culture is at the forefront
  •  See out the onboarding journey of new team members, including maintaining any regulatory documentation
  • Help build culture in a high-performance environment
  • Keep training and compliance tracking organised and up to date


Skills & Experience

  • 3+ years experience supporting senior executives in a fintech, financial services, payments, or regulated environment
  • Strong written and verbal communication skills
  • Proficiency with productivity tools, (Google Workspace, Microsoft Office, Slack etc)

  • This is predominantly office-based in Essex. In a scaling, regulated fintech, proximity matters. Speed matters. Collaboration matters
