Job description

We’re looking for a highly organised and detail-focused Bid Coordinator to join our Preconstruction Team, supporting the delivery of high-quality PQQs, tender submissions, and bid documentation across a range of construction and infrastructure projects.

This is a key coordination role within a fast-paced bidding environment, where accuracy, communication, and the ability to manage deadlines are essential.

What you’ll be doing:

  • Coordinating the full bid process from ITT receipt through to submission, post-tender, and handover
  • Managing document control, including registers, filing systems, and version control
  • Reviewing ITT information to identify requirements, actions, and deadlines
  • Issuing tender information to internal teams and tracking progress
  • Writing, reviewing, proofreading, and formatting tender responses
  • Supporting the preparation and submission of PQQs and bid documents
  • Managing client portals and electronic document systems (EDMS)
  • Coordinating NDA processes and ensuring compliance with procedures
  • Arranging meetings, preparing agendas, and producing minutes and action logs
  • Maintaining deliverables trackers and bid progress reporting
  • Supporting the creation of CVs, capability documents, and presentations
  • Maintaining CRM systems and bid libraries
  • Liaising with internal teams to ensure deadlines and submissions are met
  • Providing general administrative support to the Preconstruction Team

What we’re looking for:

  • Experience in a Bid Coordinator / Bid Assistant role (construction experience preferred)
  • Strong organisational skills and excellent attention to detail
  • High standard of written English, spelling, grammar, and formatting
  • Ability to manage multiple deadlines in a fast-paced environment
  • Strong communication and coordination skills
  • Proficient in MS Office (Word, Excel, PowerPoint, Outlook)
  • Experience with CRM systems or document management tools advantageous
  • Proactive, adaptable, and team-focused approach
