Medical Administrator/Receptionist

Job description

We are looking for a medical receptionist/administrator (34 hours per week) to work in our very busy GP practice. The role involves providing a welcoming, efficient, and confidential reception service while supporting the smooth day‐to‐day operation of the practice. The postholder will handle patient enquiries, manage appointments, and carry out a range of administrative duties in line with NHS guidelines and practice policies.

Main duties of the job

Greet patients in a professional and courteous manner

Handle incoming telephone calls

Maintain patient confidentiality at all times

Make appointments using the clinical system (SystemOne)

Maintain accurate patient records

Process repeat prescriptions

Liaise with clinicians and other staff to ensure smooth patient flow

About usThe practice has a large, multi‐disciplinary team serving a population of 16,000 patients. Despite the size of the team we work closely together in a very friendly environment with approachable team members.

Our main site is a modern, purpose‐built surgery and we also have a smaller branch site on the opposite side of the town centre. It can be incredibly busy and the role can be quite demanding but very rewarding.

Job responsibilities

Greet patients and visitors in a professional and courteous manner

Handle incoming telephone calls, ensuring queries are dealt with efficiently

Provide information regarding practice services and procedures

Maintain patient confidentiality at all times

Book, amend, and cancel patient appointments using the clinical system

Manage appointment requests in line with practice protocols

Support triage processes where applicable

Maintain accurate patient records and update information on the system

Process repeat prescription requests in accordance with practice procedures

Handle incoming and outgoing correspondence (post, email, NHS systems)

Scan and file documents into patient records

Liaise with clinicians and other staff to ensure smooth patient flow

Assist with administrative tasks to support clinical staff

Ensure the reception area is tidy, safe, and welcoming

Adhere to GDPR, NHS confidentiality, and data protection regulations

Follow practice policies, procedures, and health & safety guidelines

Understanding of medical terminology

Reliable and punctual

Experience

Experience of working in Primary Care

Experience of working in a GP Practice

Experience of using SystemOne

Qualifications

NVQ 2 or 3 in Business Admin or Customer Service
