Job description
We are looking for a compassionate, motivated and proactive Part‐Time Administration Assistant/Receptionist to be the first point of contact for residents, visitors and healthcare professionals, ensuring that everyone who walks through our doors receives a warm and efficient service. The Admin Assistant/Receptionist will support both Reception and Administration tasks including handling calls, dealing with general enquiries and supporting with a variety of general office tasks. This role is key to helping our service run smoothly and ensuring everyone feels welcomed and supported.
This role is ideal for someone who genuinely cares about people and is confident interacting with a wide range of individuals.
This is a Part‐Time position working 4 days per week including weekends. We are happy to be flexible with the specific weekday you work and will consider other alternative suggestions, as long as they support the needs of the service. However, weekend working cannot be adjusted.

Your Responsibilities Include
Greeting visitors and providing a welcoming Reception experience.
Be the first point of contact for visitors and third parties contacting the Centre, offering outstanding customer service, warmly welcoming visitors and providing refreshments.
Making sure that all enquiries are dealt with professionally and effectively, ensuring that all information is redirected and dealt with accordingly.
Handling incoming calls and emails professionally and confidently.
Coordinating and facilitating site visits for potential residents and their families.
Support the Business Administrator and other team members with any daily tasks.
Ensure Reception and waiting areas are tidy, welcoming, and compliant with health and safety standards.
What We Are Looking ForExperience within Health and Social Care is welcome, but not essential – we place great value on the right attitude and personal qualities.
Experience as a Receptionist, Administrator or in another customer-facing role.
Confident in managing enquiries both by phone and in person, and comfortable engaging with a diverse range of callers and visitors.
Must be competent and comfortable with general computer use and with IT systems specifically Microsoft Outlook, Word and Excel.
Have excellent attention to detail, be highly organised and feel confident to be proactive and willing to adapt to the needs of a growing service.
Have the ability to maintain confidentiality and handle sensitive information appropriately.
Warm, empathetic and comfortable supporting residents and visitors during sensitive moments.
Be flexible and cooperative whilst working collaboratively with all teams within the service being a key team player.
Feel comfortable and have the ability to work independently for longer periods of time.
