Owen Reed is looking for a Receptionist for a leading law firm in Oxford
We are recruiting for a Receptionist to join the Facilities and Front of House team in Oxford. You will provide the first welcome link between clients and the firm, delivering an excellent first impression both in person and over the telephone.

You will also support the wider office and facilities team with general administration, assist with post-event cleaning, and provide an efficient and flexible service to internal clients.

Working Pattern
Monday – Friday, 8:30am – 5:30pm

Key Responsibilities

Provide a warm and welcoming first impression of the highest standard for clients and staff arriving at reception

Promptly and courteously answer and record telephone and reception enquiries, and assist visitors attending with appointments or documents

Look after clients waiting in reception, notify fee earners of their arrival, and escort them to interview rooms where required

Manage all documents and post arriving in the office during the day

Ensure every item and visitor is logged consistently for record-keeping purposes

Provide refreshments for clients and meetings when requested

Support events as required, including cleaning after events have finished

Work with tact, discretion and diplomacy when dealing with clients face-to-face and over the telephone, maintaining confidentiality at all times

Use the Teams system to answer telephone enquiries promptly and efficiently

Provide occasional reception cover at other offices when required

Attend departmental meetings, training sessions and other internal meetings as required

Prepare, refresh and maintain high standards in all meeting rooms before and after each use

Work alongside Facilities in hosting large events, including setting up and clearing down

Demonstrate flexibility when attending or hosting events as required

Take responsibility for the day-to-day management and smooth operation of all nine meeting rooms

Produce documents, letters and emails for other teams as required

Copy files, scan and email documents

Input data into the CRM system as required

Support with additional administrative tasks including web enquiries, faxes and general email enquiries

Skills, Experience and Attributes

Experience working as a Receptionist within a professional services environment is desirable

Previous hospitality experience is essential

Experience undertaking general administrative duties including filing, scanning and photocopying

Experience handling telephone-based enquiries and operating a switchboard

Excellent organisational skills with the ability to prioritise effectively
