We are based within the Student Administration Services Department, who undertake the administration of the student lifecycle including Welcome, Enrolment & Registration, Visa Support & Guidance, Student Records, Graduation, and International Student Welcome. We work to ensure all students who study at King's receive a world-class student experience by aligning support for students through their educational journey with the academic cycle of events throughout the year.

This role sits within the Student Lifecycle Events & Engagement team which delivers on a range of projects and events aimed at enhancing the student experience at both Graduation and Welcome to King's. Welcome to King's aims to give a high quality and inclusive first experience for all incoming students. Graduation is a key programme of work that supports students to successfully transition to their next chapter.

We are part of the Students and Academic Services Directorate, a collection of wide-ranging professional services in place to support King's students and their education. As a directorate we manage the student lifecycle from application to graduation and beyond, to ensure a coherent and seamless student experience and effective administrative processes, working closely with King's faculties to do so.

About the role:

Each year, around 12,000 students attend a graduation ceremony, while Welcome to King's supports over 16,000 students joining King's College London. The post holder will assist in the preparation, organisation and administration of these important university events and aim to provide a high-quality experience for all our staff and students. The post holder will have a primary focus on supporting on Graduation ceremonies with some involvement on key Welcome activities and delivery.

Working collaboratively with services and faculties across the institution, the post holder will provide quality customer service for stakeholders, responding to enquiries competently and appropriately and continually seeking opportunities to enhance the student experience.

This is an exciting opportunity for candidates looking to support student engagement, and who wish to utilise their skills and expertise in planning, preparing for and delivering large scale events. In conjunction with the Student Lifecycle Events & Engagement Managers, the Student Lifecycle Events and Engagement Senior Officers and any other team members or support staff, the role holder will support on the organisation and delivery of graduation ceremonies, held at the Royal Festival Hall (January and July) and Southwark Cathedral (July only) each year. The role holder will also support on the organisation and delivery of some elements of Welcome to King's each September.

Experience of working in events is desirable, though not essential if the applicant can demonstrate other relevant experience, and a keen eye for detail. An understanding of the logistical requirements of event management would be beneficial.

We offer a flexible working structure (core hours between 10am - 4pm), with a mixture of remote working and together as a team in our central London offices. During peak periods (June - September, November-January) additional days in the office will be required as standard.

Please be prepared to work flexibly during delivery times and note that some events and activities take place outside of normal working hours on evenings and weekends and/or require early start times.

This is a full time post (35 hours per week) and you will be offered an indefinite contract.

Interviews are due to be held in the week commencing 10 August 2026, most likely on 12/13/14 August.

About you:

To be successful in this role, we are looking for candidates to have the following skills and experience:

Essential criteria
  1. Relevant work experience and/or education: We think a wide range of different work and educational experiences could support you to be successful in this role. Relevant work experience might include work in events coordination, or managing stakeholders. Relevant educational experiences might include higher education in a related discipline, professional qualifications or other training.
  2. Experience of working in a busy and fast paced customer service/events environment
  3. Ability to be able to follow processes effectively and accurately, decide own work pattern and ensure work is aligned with wider team output
  4. Ability to work with large amounts of data and be confident to analyse efficiently and accurately
  5. Ability to use initiative and creativity to resolve problems by thinking fast on the spot and being confident in making decisions where necessary and appropriate
  6. Strong organisational skills and the ability to prioritise effectively to successfully manage competing deadlines with a high level of attention to detail and accuracy, and manage own workload / resources in a high pressure environment.
  7. Ability to manage students and staff whilst maintaining excellent customer service skills and willingness to engage with large audiences
  8. Prepared to work outside standard working hours and at weekend/evenings on occasion

Desirable criteria
  1. Comfortable using Excel and other MS Office tools
  2. Experience of managing temporary staff or student ambassadors
  3. Knowledge of and enthusiasm for Higher Education and improving the student experience for a wide range of student groups
