Assistant Building Manager

EDINBURGH | Full-time, Permanent |Commercial Property Management


We are working exclusively with a leading commercial property management company, who are seeking an Assistant Building Manager for a landmark 60,000 sq ft office building. Set across eight storeys, the building is a Grade A sustainable redevelopment completed in early 2025, finished to a high-end specification throughout. It is a premier address for occupiers who expect a five-star building experience.


The Role


As Assistant Building Manager, you will support the senior management team in delivering an exceptional occupier experience and ensuring the building is run safely, efficiently and to the highest standards. You will be a proactive, visible presence on site, building strong relationships with occupiers, service partners and stakeholders while supporting operational excellence, sustainability objectives and community engagement initiatives. Key Responsibilities


  • Keep the building, inside and out, maintained and serviced to a high standard, in line with agreed budgets and performance targets.
  • Help prepare, monitor and report on the service charge budget and spend, working closely with the wider management team.
  • Carry out regular site inspections and audits, organising remedial action where needed.
  • Work with stakeholders and occupiers to keep an effective planned maintenance and repair programme running.
  • Lead regular occupier meetings, making sure issues are resolved within agreed timescales.
  • Keep health and safety audits and follow-up actions on track, using the relevant compliance systems and current legislation.
  • Coordinate fire and evacuation drills, keeping emergency plans and site maps up to date.
  • Liaise with local authorities as required.
  • Support major works projects, acting as the on-site point of contact for contractors and consultants.
  • Contribute to management reporting and help put contracts in place with the procurement team.
  • Oversee contractor performance, making sure standards are consistently met.
  • Be a visible, approachable presence on site, building positive relationships with occupiers, visitors and contractors.
  • Look for opportunities to improve occupier satisfaction, sustainability performance and operational efficiency.


About You


  • Previous experience in a facilities environment in a supervisory or management capacity.
  • Good technical knowledge of premises management.
  • Excellent customer service, interpersonal and communication skills.
  • Good awareness of Health & Safety legislation and environmental protection requirements; IOSH qualification desirable.
  • IT literate, with experience of industry-specific software.
  • Able to work on your own initiative in a fast-paced environment, with strong organisational and planning skills.
