MADE Careers is partnering with a well established international architecture and design practice as it establishes and grows its new London studio.


Already a major name internationally, the practice is now building its presence in London and is looking for a brilliant Studio & Administration Assistant to become an integral part of the new team.


This is a varied, people focused role combining studio administration, Director support, reception, tenders and general office coordination. You’ll be joining at an early stage of the London studio’s growth, so there’s plenty of opportunity to make the role your own and become the person who keeps everything running smoothly.


The Role

Based full time in the new Canary Wharf studio, you’ll work closely with the London Directors while also liaising with the practice’s wider international team.


It would suit someone naturally organised, personable and proactive who enjoys variety and being at the centre of a busy working environment.


Responsibilities

  • Front of house and day to day studio administration
  • Providing administrative support to the Directors
  • Managing filing, records, archiving and general office organisation
  • Coordinating travel, visas and passport applications
  • Monitoring relevant tender opportunities and maintaining trackers
  • Supporting the preparation and coordination of tender submissions
  • Liaising with consultants and third parties involved in submissions
  • Compiling tender documentation and final submission packs
  • Providing administrative support to the UK and South African finance teams
  • Managing general office requirements, maintenance and organisation
  • Helping establish efficient processes as the London studio grows


The position combines general office and Director support with genuine involvement in tender opportunities and submissions.


Requirements

  • Around 2+y ears’ administration, studio support or similar experience
  • Excellent organisational skills and attention to detail
  • A warm, personable and professional approach
  • Strong written and verbal communication
  • Confident managing multiple tasks and priorities
  • Strong Word and Excel skills, with good PowerPoint knowledge
  • Excellent record keeping and administrative skills
  • Proactive, self motivated and comfortable working independently
  • Calm and capable when working to deadlines
  • Some understanding of tenders and tender documentation would be beneficial
  • Previous experience within architecture, design or the wider built environment would be advantageous
  • Office Administration qualification advantageous but not essential
