Job description

We are looking for a highly organised and detail-driven Purchasing & Finance Assistant / Coordinator to join our London team, supporting the procurement and delivery of FF&E and OS&E across exceptional residential and hospitality projects around the world.


This is a varied, hands-on role spanning purchasing, procurement operations, project support, finance administration and data management. We’re looking for someone who loves organisation, is exceptionally comfortable with detail and numbers, and considers a beautifully maintained Excel tracker a thing of joy.


THE ROLE

Working closely with our Procurement and Finance teams, responsibilities will include:

• Supporting the purchasing process from RFQ through to order placement and delivery

• Issuing and managing supplier RFQs, quotations and order information

• Raising and maintaining Purchase Orders and purchasing records

• Liaising with suppliers, coordinating orders and proactively following up on actions

• Processing supplier invoices, payables and financial information

• Supporting AP/AR administration and invoice reconciliation

• Maintaining detailed project, purchasing and financial trackers

• Processing, checking and managing data across multiple live projects

• Supporting month-end reconciliations and reporting

• Assisting with procurement budgets, cost reporting and financial records

• Coordinating with suppliers and logistics partners to support deliveries

• Providing wider project, procurement, finance and administrative support to the team


ABOUT YOU

You’ll be a meticulous and highly disciplined individual who takes real pride in accuracy, organisation and getting the detail right.

Ideally, you will have:

• Previous experience in purchasing, buying, procurement, project coordination, finance administration or accounts support

• Experience within FF&E / OS&E procurement, interiors, hospitality, luxury, construction or a related industry would be a strong advantage, but isn’t essential

• Excellent and confident use of Microsoft Office, particularly Excel

• Strong numerical skills and confidence working with financial data

• Experience processing invoices, POs, reconciliations and/or AP/AR

• Excellent attention to detail and an ability to spot inconsistencies before they become problems

• Strong written and verbal communication skills

• Confidence liaising directly with suppliers and internal project teams

• Exposure to logistics and international purchasing would be advantageous

• Experience with Xero would be a plus

• The ability to manage multiple priorities in a fast-paced environment without compromising accuracy


You may currently be working as a Purchasing Assistant, Procurement Coordinator, Buying Assistant, Project Assistant, Project Coordinator, Finance Assistant, Finance Administrator, Accounts Assistant, Accounts Administrator, AP/AR Assistant or Administrative Coordinator and looking for a role that brings these skills together across purchasing, project support, finance and procurement operations.
