Job description

Venesky-Brown’s client, a public sector organisation in Glasgow, is currently looking to recruit an Administrative Assistant for a 12 month contract on a rate of £18.03/hour (PAYE).


Responsibilities:


- Maintain the administrative support required to support the day to day running –arranging meetings, room bookings and taking minutes and actions at meetings.

- Monitor and maintain budgetary information through the processing of purchase orders, Government Procurement Card

- (GPC) payments, invoices and expenses providing reporting and reconciliation as required to support the budget holder in the day-to-day financial control of their budget.

- Ensure monthly financial reporting information is provided in a timely manner and providing support to budget managers on timelines and processes for submitting budget forecasts and re-forecasts.

- Ensuring the timely collation of all papers for submission and approval to a range of internal, board and external meetings.

- Assist the Heads of Service within the cluster in administrative tasks relating to management of their service offer, including integrated planning, policy management, budgets and risk registers.

- Participate in project teams and lead specific workstreams across the cluster’s portfolio.

- Ensure planning and governance processes are followed by programmes and projects.


Essential Skills:


- Demonstrable work experience or qualifications equivalent to SCQF Level 6 (SVQ 3)

- Previous experience of working as Administrative Assistant, or a similar role Experience of diary management

- Competent user of standard IT applications, Microsoft Office – Excel, Word, Outlook and PowerPoint

- Good communications skills, both verbal and written

- Good interpersonal skills with the ability to work effectively with people across a wide range of levels and responsibilities

- Acts with personal integrity and the utmost discretion, at all times demonstrating strong values of trustworthiness and reliability

- Excellent organisational and time management skills, able continually to multi-task and deliver against deadlines

- Focus on accuracy and attention to detail
