Overview

We are seeking a highly organised and proactive Personal Assistant to provide dedicated support to senior leadership within a dynamic Programme Controls and PMO environment. This is an excellent opportunity to contribute to a major, high-profile infrastructure programme at the forefront of the UK's energy and sustainability agenda.

You will play a key role in ensuring the smooth day-to-day operation of senior stakeholders, supporting effective coordination, communication, and administration across a fast-paced project environment.

Key Responsibilities
Provide professional, accurate, and reliable PA and administrative support to senior leaders
Support the wider business unit with administrative tasks as required
Coordinate and oversee team assistants to ensure an efficient admin support function
Manage complex diaries, schedules, and itineraries
Prepare weekly meeting packs and supporting documentation
Organise and maintain document management systems and filing structures
Record and produce minutes for key meetings
Maintain up-to-date contact lists and team records
Arrange meetings, travel, accommodation, and logistics (including vehicles and hospitality)
Support reporting activities, including preparation of presentations, statistics, and documentation
Use internal systems to manage data, records, and administrative processes
Liaise with Finance to support invoice processing and cost tracking
Handle enquiries from internal and external stakeholders professionally
Maintain confidentiality of sensitive information at all times
Track training and induction records and liaise with HR where required
Skills & Experience

Essential:

Strong organisational and administrative skills with a methodical approach
Ability to work independently, proactively, and manage multiple priorities
Excellent communication and interpersonal skills across all levels
High level of discretion and confidentiality
Strong attention to detail
Previous experience in a PA or team support role
Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
Ability to handle challenging or sensitive enquiries effectively

Desirable:

Document control experience
Familiarity with SAP or similar systems
Experience within large-scale projects or regulated industries
French language skills (spoken and written)
